Custom software

Software built around how your business actually works.

Custom CRMs, connected hubs, web apps and portals, planned with you and built for the way your team already works.

The problem

You're paying for software your team doesn't use.

Off-the-shelf software is built for everyone, so it comes packed with features most businesses never touch. Meanwhile your staff jump between three or four apps to finish one job, typing the same details into each.

So businesses end up paying for features they don't need. Custom software turns that around: what you don't need never gets built, so you use all of what's there.

What we build

One system that fits, instead of five that almost do.

Flagship offering

Connected hub

One login for the whole business. A hub that pulls Xero, Salesforce and your other systems into one place, so information is entered once and shows up everywhere it's needed.

Your team stops copying data between apps, and you get one view of customers, jobs and money.

Bespoke CRM

Your sales and customer process, exactly as it runs today. Nothing extra to click past.

Custom web apps

Portals, booking tools and internal apps that run in any browser, for staff, clients or both.

Portals

Separate, linked portals for staff, clients or partners that run in the browser on phones, tablets and computers. Nothing to install.

How it works

Four steps, and you see it working early.

  1. 1DiscoveryWe map how the work happens now, what slows it down and what the system has to do.
  2. 2PrototypeYou click through a working draft before the real build starts, and we adjust it with you within the agreed scope.
  3. 3BuildBuilt in stages you can test as we go. AI tools help write and test the code, and a person reviews every change.
  4. 4Handover & supportDocumented, set up and running, and your team shown how to use it. Support afterwards if you want it.

Industries

Where custom systems make the biggest difference.

  • Land lease & lifestyle communitiesEnquiries, residents, sites and accounts in one place.
  • PropertyDevelopers, builders and buyers working from the same information.
  • Trades & field servicesJobs, quotes and invoices that flow from the office to the van and back.
  • Community organisationsMembers, registrations and volunteers without the spreadsheets.
Case study Vital Communities Land lease & lifestyle communities

A custom CRM that replaced Salesforce.

Staff found the existing systems hard to use, so work ended up in spreadsheets and Outlook inboxes, as it does in many companies.

  • ChallengeOne easy-to-use hub that everyone could work from, integrated with the rest of the business's systems.
  • What we didBuilt a custom CRM to replace Salesforce, designed around how their team works and connected to the rest of their systems.
  • ResultStaff use it much more extensively than the old system, and the business saves on Salesforce licensing.

Now buildingIn development

A three-portal CRM for a property developer. The developer, the builder and residents each get their own portal, and defect and warranty issues flow from residents straight to the builder while the developer keeps oversight.

Questions

What people ask before they start.

What does it cost?

The first chat is free. After that it depends on what the system needs to do, so there's no set price list. You get a written quote before anything is built, and we agree with you how it's priced: in stages, by milestone or hourly, whichever suits the project. If a smaller fix or an existing product would do the job, we'll tell you.

How secure is it?

Security is planned in from the start, and we tell you exactly what applies to your system. Depending on the solution, that includes multi-factor sign-in, access controls so each person sees only what they need, encryption and backups, plus identity protection where Microsoft services are involved. We build on established, well-supported platforms rather than reinventing the risky parts.

What if Baxter IT isn't available?

Everything is documented as it's built and uses common, well-supported tools, so how your system works and how it's set up is written down, not kept in one person's head.

Can it work with software we already use?

Usually, yes. Xero, Salesforce, Microsoft 365 and many industry tools can be connected. We check what's possible during discovery, before you commit to anything.

How long does it take?

As a rough guide, anywhere from a couple of weeks to a couple of months, depending on how complex the system is and what's in scope. These are indicative estimates. You'll get a timeline for your project with the quote.
